How to Plan a Virtual Company Holiday Party

Planning a virtual company holiday party means coordinating a date, a format, and—if participants receive kits—the shipping details. Use this checklist to compare a shipped decorating class with a lower-materials online gathering and to leave time for required address and payment steps.

1. Choose a date and time that suits the team

Ask for a few date options and consider the time zones represented. If one meeting time cannot work for everyone, decide whether an asynchronous activity or separate gathering is more practical.

2. Set a budget using the actual participant count

Sweetology's listed virtual holiday gingerbread house and sugar-cookie decorating events cost $79.50 per person. As a simple planning calculation, 10 participants come to $795 and 20 to $1,590 at that rate. The listed price includes kits and shipping to Continental US addresses. Additional destination shipping charges apply. Expedited shipping costs extra. A no-kit activity avoids kit shipping, while requiring the organizer to arrange the activity materials or content.

3. Match the activity to the kind of gathering you want

A host-led decorating class gives participants a shared hands-on activity and kits. gingerbread house decorating or holiday sugar-cookie decorating events are listed for groups of 10–500 and run for 60 minutes. Trivia, a gift exchange, or show-and-tell may suit a group that would rather avoid shipping kits.

4. Check shipping locations and collect addresses

For a kit-based event, confirm where each participant needs delivery. Every participant gets a kit shipped directly to them. Shipping to Continental US is included at no extra cost. Additional shipping is available to Alaska, Hawaii & US Territories for $75/person, Canada for $60/person, and International for $45/person. Book at least 10 days ahead. Sweetology's completed address form is due 10 days before the event, and PO boxes cannot be used.

5. Leave time for payment and shipment

A $500 deposit starts the booking. The remaining balance is charged to the saved card 30 days before the event, or shortly after booking for an event within 30 days; kits do not ship until the balance is paid. If you are comparing providers or event formats, include the payment schedule and address deadline in your planning calendar.

6. Keep the agenda simple

Decide how the call will begin, what the main activity is, and how you will close. Sweetology's decorating sessions are 60 minutes and hosted live; other formats may need a facilitator from your team.
